Council venues vs private venues

Council venues such as the Goods Shed, Highfields Cultural Centre, the community halls and the outdoor parks and laneways book through Toowoomba Regional Council. Events on council land need a temporary entertainment event approval, which sets conditions like the amplified-music finish time.

Private venues such as hotels, clubs, Clifford Park and Gabbinbar book direct, and their licence and house rules set the limits.

How to choose the right venue capacity

One capacity number hides a lot. The same room fits roughly twice as many people standing as it does at a seated dinner, and a packed dancefloor squeezes in more again.

The venue holds the licence and runs the bar. You choose a package, bar tab or minimum spend. Simplest, and usually the priciest per drink.

Licensed, with options

The venue is licensed but flexible on packages and tabs. Ask what is negotiable before you sign.

You arrange it

Blank-canvas and council spaces. Cheaper drinks, but you organise staff, glassware, security and any permit yourself.

Queensland basics, in plain English

  • Selling alcohol needs a licence or permit. That includes drinks bundled into a ticket price. One-off event permits come through the Office of Liquor and Gaming Regulation (OLGR).
  • Whoever holds the licence carries the responsibility. At a licensed venue that is the venue. Under a permit, it is the permit holder.
  • Anyone serving should hold an RSA. It is required on licensed premises and a sensible baseline everywhere else.
  • 18ths mean under-18 guests. Plan for ID checks and venues that ask for licensed security as a condition of hire.

Ask for the power layout, not just “yes, there’s power”. Carnival Lane and Kwong Sang Walk list power available. Generators are not safe for PA gear, so where there’s no clean power we bring in a portable battery system from a hire supplier.

Where the van parks, how far the gear travels, stairs, lifts and access times. Laneways are public thoroughfares, and heritage buildings can have one practical entry.

Not if you host at home and do not sell alcohol. At a hired venue the venue’s rules come first, and many require you to use their licensed bar. If alcohol is sold, including when it is bundled into a ticket price, you generally need a licence or permit through Queensland’s Office of Liquor and Gaming Regulation.

How much space do I need per guest?+

Roughly 1.5 to 2 m² per person for a seated dinner, 0.8 to 1 m² for theatre seating, 0.5 to 0.7 m² for a standing cocktail event, and 0.4 to 0.5 m² on a packed dancefloor. A venue’s published capacity always takes priority, because fire and licence limits usually sit below the floor-space maths.
